Where should I get my staff parking permit?
New employees will receive their permit from HR and current employees will get them from their Division offices. The first pass is free, but you can purchase a second pass for $2.00. If you end up needing more than two, you will pay full price (currently $40 per semester or $80 for the year).
Parking permits are required 24/7 on the campus so ensure your permit is always properly displayed on your windshield to avoid a citation.
How do I make sure my e-mail is active?
Typically, your supervisor fills out a network account request form—both your network/computer login and e-mail login are the same. The IT Help Desk (831-479-6392) is a good resource if you need help configuring your Cabrillo network/email account.
What do I do if I’m injured on the job?
Contact your supervisor/manager ASAP to fill out an accident report. Also contact Margie Casillas, our Benefits Analyst in Human Resources (macasill@cabrillo.edu). See the Human Resources Workers’ Compensation webpage for more information.
If I wanted to take a class (on campus) do I get a reduced rate?
No, but thankfully tuition is pretty reasonable at $46 per unit for California residents. If you are a college employee, you don’t have to wait a year to establish residency, either. Instead, obtain a verification of employment and submit that to Admissions & Records. If you do take classes, check out the Professional Growth program—you can be compensated for certain courses that you complete.
What is the Extension Program? How does it work for employees?
The Cabrillo Extension Program is an on campus resource that offers classes and workshops for both personal and professional development, and enjoyment. The program collaborates with local employers and is open to the community. Through those partnerships, the Extension Program can provide specialized trainings, programs, and special interest workshops. Employees receive a discounted rate AND the courses count towards Professional Growth credit. Extension offers a 30% discount on classes for Cabrillo College staff. Use this link for the most recent offerings.
Can we sign up for the Wellness Education Center (WEC) gym?
Both the WEC and the Cabrillo pool are available for staff use via a semester membership. The Wellness Education membership is $55. You can get more information and register here: Gym registration. And for information and access to the Cabrillo Pool for $20 a semester please go here: pool registration.
How do I get involved as a new employee?
You can attend the Cabrillo Classified Employees Union (CCEU) meetings that will keep you informed about items related to your compensation, benefits and matters related to college operations at large. CCEU is also a good avenue in terms of accessing opportunities to serve on shared governance committees (we have many and at least one will likely align with your interests). Contact Student Services for volunteering opportunities to help or advise student clubs, assist in graduation planning, staff welcome tables, and more! Finally, Flex Week, the week before the start of Spring and Fall semesters, is a good time to check out different workshops and meet campus faculty and staff.
How do I meet people on campus?
See above! It takes time, but the more activities you become involved in, the more connected you will become. Also, while on your break take a moment to visit an office and introduce yourself; you’ll find Cabrillo is a welcoming place, and generally everyone’s door is open!
What is “paid status”?
Paid status is a contract term referring to the time an employee expects to receive pay. This is also used to calculate seniority, anniversary date, and retirement requirements. It does not include unpaid leaves, an interruption in employment (lay-off), or any voluntary contract reduction period. For example, employees with less than 12 month/100% contracts are not in paid status during “no pay” months.
What are the different divisions and departments on campus?
Well, you’re going to hear them referred to (almost exclusively) in acronym form, but here it is all spelled out:
- ELLA (English, Library Services, and Language Arts)
- HASS (Human Arts and Social Sciences)
- HAWK (Health, Athletics, Wellness & Kinesiology)
- NAS (Natural and Applied Sciences)
- VAPA (Visual, Applied, and Performing Arts)
- CTE (Career Technical Education)
Departments are housed within Divisions (example: Theater Arts belongs to the VAPA division). Departments refer to people (example: Theater Arts Faculty) and Programs refer to courses, certificates, and degrees.
Besides instructional divisions, you’ll hear the following Components referred to: Administrative Services or Student Services.
Related departments are housed under their respective components. Refer to the Campus Organizational Chart.
Do I need any access/alarm codes or special keys?
Probably! Talk with your supervisor to determine what you need to access your assigned building. Most buildings require both a key and an alarm code.
Who is in charge of my work schedule?
Your supervisor. Some positions are more flexible than others—talk with your supervisor if you have any questions or concerns. Your union representatives are also valuable resources when it comes to talking about working hours.
Who signs my absence reports?
You and your supervisor. They are turned in at the completion of each month (regardless of whether you are absent within that given month or not). These are currently submitted electronically via PD1, and the link is available on the Business Services Office (BSO) webpage. Click the “Internal Cabrillo Business Office Forms” and find it under the “Payroll forms” menu.
Who is my immediate supervisor?
There are different levels of supervision. Program Coordinators (classified) are responsible for identifying tasks and coordinating services. Department Chairs (faculty) are responsible for managing the day to day activities of the office, identifying staffing levels needed and providing input on work products. Program Directors (faculty) are the same as Department Chairs, except they work for a particular service outside of instruction such as Accessibility Support Center (ASC) or Extended Opportunity Programs and Services (EOPS). Your immediate supervisor is the administrator (non-faculty Dean, Director, VP, President) responsible for your employment and evaluations.
What other services work closely with our department?
This is a great question to ask your colleagues or supervisor. For example, Financial Aid works closely with Student Employment, the Business Office, the HUB Learning Resource Center, the Watsonville Integrated Learning Center (ILC), Computer Technology Center (CTC), and everyone works closely with IT (or they should)!
Who do I reach out to when I need assistance?
It depends on what you need:
Computer, phone, internet, or wifi issues? Information Technology (IT) via their Help Desk phone for Aptos 479-6392, or Watsonville 786-4777. You can also fill out a work ticket through the IT support portal.
Custodial or Maintenance issues or questions? Facilities Planning and Plant Operations (FPPO) can be reached at their Help Desk line 479-6465, or submit a FPPO work ticket.
Scheduling/reserving spaces on campus for meetings or events? Request space through Ad Astra, our campus space scheduling software. There are instructions in the left corner of the home page. If you need training or do not have access please email Chrissy Hankes (chhankes@cabrillo.edu).
Questions or concerns for Human Resources (HR)? Call 479-6217 or send an email to CabrilloHR@cabrillo.edu.
I have never been in a union, what does it mean?
It means that a group of people work together for their mutual benefit when it comes to compensation, benefits, worker’s rights, and job security. Union dues are automatically deducted from your paycheck (1.255% of your annual pay). CCEU is an independent union, meaning it is here for you and other Cabrillo staff exclusively.
If I have a union related issue, who do I talk to?
A good place to start is CCEU’s Chief Steward: Chrissy Hankes (steward@mycceu.com) Alternatively, any of the union officers would be happy to field questions or point you in the right direction.
I am not ready for a committee yet, but I want to know more about how they work.
We’re figuring that out ourselves! Check out the Governance Manual—it has more info than you’ll care to know—and, in brief, we operate off of a shared governance model, meaning that representatives from all constituencies are involved in campus wide decision making processes.
Who do I go to if I have a concern about another co-worker, my supervisor, or my work environment?
Our Chief Chief Steward: Chrissy Hankes (steward@mycceu.com) would be a good place to start. Alternatively, Human Resources is full of good people who are ready and willing to help. Both avenues operate confidentially.
How do I find out about sick/vacation leave balance, my current benefits, or get my current or past pay stubs?
Visit the Cabrillo website. At the top of the page click on “My Cabrillo”. Sign in with your employee username and password (this should be your employee number or the prefix of your email and password – then you will be verified through Okta). Once signed in, click ‘Self-Service’, then click “Employee” Category.
Do I have to take a no pay month when I am working?
This applies to employees with a contract that is fewer than twelve months. The choice is up to you! You have two options:
1. You can select which month(s) you would like to take no paycheck.
2. Union negotiators also fought for (and won) your option to instead enroll in a pay-over-twelve months plan.
How do I serve on a hiring committee?
Usually you are invited! There is a training you must attend through HR and let your supervisor know it is something you are interested in.
